Who this policy covers

This policy explains how Ma Mobile Detailing handles personal information connected with this website, enquiries, appointments and services arranged with us. It includes vehicle, RV and boat detailing, and carpet or upholstery enquiries made through our website.

We operate in British Columbia. Applicable privacy requirements include BC’s Personal Information Protection Act (PIPA) and federal privacy law where it applies. Our business owner is the contact for questions about our handling of personal information.

Separate notices may apply to employment matters or a different business providing a service. Connected platforms also have their own privacy notices.

Information you share with us

Depending on what you ask us to do, information you provide may include:

  • Contact details: your name, email address, phone number and preferred way to communicate.
  • Appointment and location details: service address, selected package, date and time, access instructions and relevant parking information.
  • Vehicle or service details: make, model, size, condition, areas needing attention, service history and photos or videos you send.
  • Billing information: invoice details, business billing contacts, gift-card information, payment status and relevant transaction records.
  • Communications: enquiries, feedback, service preferences, consent choices and messages exchanged by form, email, phone, text or social media.
  • Job applications, if submitted: contact details, a résumé, work history and other information you choose to provide for that application.

Please share only what is relevant to your request. Do not send passwords, full payment-card numbers or unnecessary identity documents through general forms, email or text.

Website information, cookies & embedded content

Our website uses Squarespace and connected services. Delivering and securing the website can involve technical information such as your IP address, browser, device, pages requested and request times. Analytics features, where enabled, may also record referral sources, page views and interactions.

Cookies and similar technologies can support essential functions, preferences and analytics features. Booking tools, fonts, review widgets, maps or other embedded content may contact their providers when loaded, giving those providers information about your connection and use of that feature.

Your controls: use your browser’s privacy settings to review, block or delete cookies, and use privacy settings offered by the relevant provider. If a cookie preference panel is displayed on this website, it explains the choices available through that panel. Blocking some technologies may affect booking, payments or embedded features.

If we introduce additional analytics or advertising tools, we will update the relevant notice and obtain consent where required. Merely reading this policy does not provide consent for every optional use of information.

How we use information

We use relevant information to:

  • Answer questions, prepare quotes and help you select a suitable service.
  • Schedule, confirm and carry out appointments, including travel and access arrangements.
  • Communicate about service progress, care instructions, billing, warranty enquiries or a concern about completed work.
  • Maintain appropriate service, accounting and business records, and handle disputes or legal obligations.
  • Operate, secure and understand use of our website and connected booking services.
  • Manage consent and communication preferences, and send promotional messages only where permitted.
  • Review a job application if you submit one.

We collect information by lawful and fair means and explain the purpose before or when we collect it. We take reasonable steps to keep information used for decisions accurate and complete. A new, unrelated purpose may require further notice or consent.

Booking, payments & technology providers

Some features are provided by other companies. The information they receive depends on the feature you use and its settings.

Squarespace & Acuity Scheduling

Website hosting, forms, website features and online appointment scheduling. Booking information may include your contact details, selected service and answers you provide during scheduling.

Square & payment services

Our gift-card link uses Square. Online payments, invoices or other payment features may also involve a payment provider. That provider collects the details needed for its payment process; we use relevant invoice, receipt and payment-status records for billing and accounting.

Google, Elfsight & linked platforms

Reviews, review widgets, maps and other connected content may involve Google or Elfsight. Following a social link or contacting us through a platform also involves that platform’s own data handling.

If you create a booking account, manage its password and account settings through the relevant provider. A provider’s notice supplements this policy; it does not remove our responsibilities for information under our control.

Sharing information & processing locations

Information may be shared with the people and providers who need it for the purposes described here—for example, the technician attending your appointment, a booking or payment provider, or a professional helping with accounting or a legal matter.

Information may also be disclosed when you authorize it, or where a disclosure is permitted or required by law, such as responding to a valid legal demand. We do not treat an enquiry as blanket permission for unrelated third-party marketing.

Our service providers may store or process information in Canada, the United States or other countries where they or their providers operate. Information processed abroad can be subject to local laws, including lawful access by authorities in that country. We remain responsible for information under our control and take reasonable steps to protect it when using providers.

Service photos, videos & public reviews

Documenting a service

We may take or receive photos and videos to assess condition, plan work, document a completed service or address a service question. Images can contain personal information, including faces, licence plates, addresses or belongings. Please tell us about privacy concerns before the appointment where possible.

Public marketing use

Public use on our website or social channels is a separate purpose from keeping a service record. Before publishing an image that identifies a customer, we seek appropriate permission unless the law allows otherwise. You can ask us not to use your images in public marketing or request that identifying details be obscured.

If you later withdraw permission, contact us about future use and material on channels we control. We will review removal requests, while explaining any limits involving necessary records or copies already shared by others.

Reviews & social platforms

A public review can include your display name, profile image and review text. It may appear through a review widget. Manage the original review through the platform where you posted it; contact us with questions about display on our website. Avoid including private addresses or billing details in a public review.

Service messages & marketing preferences

We may contact you about an enquiry, appointment, completed work, invoice or other service matter. These communications are different from optional promotional offers.

Promotional emails or texts require appropriate consent or another basis permitted by applicable anti-spam law. To stop promotional messages, use the unsubscribe instructions in the message, reply asking us to stop, or email us. We will act without delay and no later than 10 business days where that requirement applies.

We may keep a limited record of your opt-out so we can respect it. Necessary service or billing communications may still be sent where permitted.

How long information is kept

Retention depends on the information and why it is needed. Booking, service, payment and communication records may be needed for appointments, customer support, accounting, warranty enquiries, disputes or legal obligations.

Where BC PIPA requires it, information used to make a decision directly affecting an individual is retained for at least one year after that use. Other legal or reasonable business needs may require a longer period.

When information is no longer needed for its purpose or a lawful retention need, we take reasonable steps to destroy it or remove the connection to an identifiable person. Backup copies and provider systems may follow separate deletion cycles.

How information is protected

We use reasonable safeguards appropriate to the information and circumstances. Access is limited to people who need information for the purposes described in this policy.

No website, email service or storage system can guarantee complete security. Contact us if you suspect information sent to us has been exposed or misused. We will review the concern and provide any notices required by applicable law.

Access, corrections & privacy concerns

You can contact our business owner about information under our control, how it has been used or disclosed, and your available privacy choices.

Access or correct information Ask for access to your personal information or request correction of an error.
Review a choice or concern Ask about consent, marketing preferences, service-photo use or deletion.

Send a written request to the email below and describe the information or concern. We may need limited information to verify your identity or authority. Do not send identity documents unless we explain why they are needed and how to provide them appropriately.

For access requests under BC PIPA, the usual response period is 30 business days, subject to lawful extensions. If access is limited or an extension is needed, we will explain as required. A deletion request is subject to any lawful need to retain records.

You may also contact the Office of the Information and Privacy Commissioner for British Columbia. For matters within federal jurisdiction, see the Office of the Privacy Commissioner of Canada.

Children & information about other people

Our website and booking services are not directed specifically at children. If a parent or guardian believes a child has provided information to us, contact us so we can review it and take appropriate steps.

If you arrange a service for someone else or submit a fleet enquiry, share only relevant information you are authorized to provide. We may need to verify authority before releasing information about another person.

Changes to this policy

We may revise this policy when our services, providers or information practices change. We will post the updated version on this page and revise the date above.

Where a change requires additional notice or consent, we will provide it. Publishing a revised policy does not by itself replace any consent required by law.
